We use your Talk to us details to reply to you and follow up about your enquiry. We won’t add you to a mailing list, and you can tell us to stop at any time.

Part 2. Businesses we approach
This part is for people at trade businesses we may contact about our service: usually the owner, a director or whoever runs things day to day. You didn’t give us these details yourself, so we want to be clear about what we hold and where it came from.
What we hold about you
- Your name and your role in the business
- Business contact details: usually a business phone number and a work email address
- A mobile number, only if you give it to us, or confirm it’s yours to use, on a call. We never buy personal mobile numbers.
- What your business publishes about itself: what it does, where it works, its website and its Google listing
- Our assessment of who runs the business day to day, and why we think that
- Our notes on the business, for example how easy it is to find online
- A record of our contact with you: calls (including recordings), emails, and anything you’ve asked us to do
We don’t look for anything about your private life, and we don’t want it.
Where we got it
We didn’t get these details from you, unless you told us on a call or by email. We got them from:
- The Companies House public register, which lists company directors and people with significant control
- Your business’s own website
- Google’s Local Services ads listings, and other search and mapping services, including business listings and reviews
- A business email-finding service
How we work out who to speak to
Most small businesses don’t say who to talk to. So we work it out from what’s public, such as who the directors are and who the website names, and we record why we reached that answer. It’s a judgement, not a fact, and sometimes it will be wrong. If we’ve got the wrong person or the wrong details, tell us and we’ll correct it.
We look at your business before we get in touch
Before we contact a business, we look at how easy it is to find online, such as its website, its Google listing and its reviews, and we score it. That tells us whether our service is likely to be any use to it. This happens before you know we exist. It only uses information that’s already public, and it’s about the business, not about you personally.
What we use it for
- Deciding which businesses to approach, and which not to
- Reaching the right person
- Deciding who to approach first, so we’re not contacting everyone at once
- Making our approach relevant to the work your business does
- Keeping a record of what’s been said, so we never contact you after you’ve asked us not to
We don’t sell your details, and we don’t use them to advertise anyone else’s products.
Why the law allows it
We rely on our legitimate interests. In plain terms: we think businesses like yours want to know a service like ours exists, we have a genuine reason to tell you, and we’ve weighed that against your right to be left alone. We wrote that assessment down before we started, and we keep to the limits we set, including how often we’ll approach anyone. You can ask to see it and we’ll send it to you.
Our calls and emails
- When we ring, we say who we are and that we record our calls.
- We only ring numbers the business has published itself, on its website, its Google listing or at Companies House, or a number you’ve given us. Before every call we check the number against both telephone preference registers (TPS and CTPS).
- We record calls so we get your details right and to train our team. If you don’t become a customer, we delete the recording within 90 days.
- Every email we send has an unsubscribe link.
- We won’t approach you more than twice in any twelve months, or more than three times in total. After that we stop for good.
How to stop us
You can tell us to stop at any time, and you don’t have to give a reason.
- Tell whoever rings you, or reply to any email saying you’re not interested
- Click unsubscribe in any of our emails
- Or email privacy@tradeworthy.co.uk
Whichever you choose, we’ll take you off our list. We delete your record straight away and keep only a short note on our suppression list, so we never contact you again. We keep that note for good, on purpose: we rebuild our list from public sources, and remembering that you asked is the only way to stop you being added back.
If you ever hear from us after telling us to stop, that’s a mistake and we want to know.
How long we keep it
| Where you are with us | How long we keep your record |
|---|---|
| We’ve never contacted you | Up to 13 months from when we put the record together |
| We contacted you and you didn’t reply | Up to 18 months from our last contact with you |
| You told us to stop, or said you’re not interested | Deleted straight away. Only the suppression note is kept, for good |
| A recording of a call with you | Up to 90 days, unless you become a customer |
| You become a customer | Your details move to your customer record (Part 3) |
When we delete a record, we delete it everywhere we hold it.
Part 3. Our customers
This part is for trade businesses that sign up to Tradeworthy, and the people who run their accounts.
What we collect
- When you sign up: your business name, company number, your name, mobile, email and website, the plan you chose and how you pay
- When you pay: Stripe takes your card details. We never see your full card number.
- When you tell us how you work: your services, the number we ring you on, your opening hours, the numbers you publish and how you want your calls handled
- When you give us access to your Google account: what we need to set up your number and support you, including the enquiries on your Local Services ads account
- Your choices, such as whether we send your job messages by WhatsApp, and a record that you agreed to our terms
- Messages, emails and calls between us, including recordings of our sales calls with you
- Your invoices and payment history
What we use it for, and why the law allows it
| What we do | Why the law allows it |
|---|---|
| Set up and run your service, send your job messages and weekly report, and support you | Our contract with you |
| Take payments and keep billing records | Our contract with you, and our legal duty to keep accounting records |
| Check the service works well and improve it, using records of how calls turned out, not what was said on them | Legitimate interests |
| Keep our systems and your account secure, and prevent fraud | Legitimate interests |
| Tell you about changes to our plans and new Extras | Legitimate interests. You can tell us to stop at any time, and every message tells you how. |
Your callers
When our digital assistant answers calls for you, we handle your callers’ details on your behalf, under our data processing agreement. How we do that is explained in How we handle callers’ details.
How long we keep it
| What | How long |
|---|---|
| Your contract and billing records | 6 years after the end of the financial year in which you stop being a customer, because the law requires us to keep accounting records |
| Other correspondence with you | Up to 2 years after you stop being a customer |
| Recordings of our sales calls with you | Kept with your customer record |
| Your callers’ details | See How we handle callers’ details |
Who we share information with
We use other companies to help run our business. When they handle personal information for us, they can only do what we tell them to.
| What they do for us | Who |
|---|---|
| Host the website and keep it secure | Cloudflare [?] |
| Hold our customer, enquiry and prospect records, and send our emails | GoHighLevel (LeadConnector) |
| Take payments | Stripe. For fraud prevention and its own legal duties, Stripe decides for itself how it uses payment information. |
| Send messages to customers | WhatsApp (Meta), with text messages sent through Twilio |
| Make and record our sales calls | Our calling service [?] |
| Check numbers against the TPS and CTPS registers | A screening service [?] |
| Find business email addresses | A business email-finding service |
| Run our call-answering service for customers | The companies listed in our data processing agreement |
| Office software, email and file storage | Google Workspace |
| Professional advice | Our accountant, lawyers and other advisers, when we need advice |
We don’t sell personal information. We only give it to anyone else if the law requires us to.
Some of the companies we use may keep copies for longer under their own terms. Backups that aren’t in everyday use are overwritten on the supplier’s own cycle.
Whether your information leaves the UK
Some of these companies are based in, or store information in, the United States and other countries. We only use them where UK law recognises the transfer as protected, either:
- because the UK government has assessed the arrangement as giving suitable protection (for the US, the “UK–US data bridge”), or
- because the UK’s approved contract terms are in place with that company.
We check this before a supplier receives any of your information.
Your rights
You can:
- See what we hold about you, and get a copy
- Correct it if it’s wrong, including our judgement about who runs your business
- Have it deleted
- Ask us to limit what we do with it
- Take it with you in a usable format, where you gave it to us and we use it under a contract or with your consent
- Complain, to us or to the ICO
Your right to object
Where we rely on our legitimate interests, you can object at any time. If it’s about marketing, we’ll always stop. For anything else, we’ll stop unless we have a compelling reason that outweighs yours, and we’ll tell you what it is.
To use any of these rights, email privacy@tradeworthy.co.uk. We’ll reply within one month, and there’s no charge.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first. Email privacy@tradeworthy.co.uk with “complaint” in the subject. Our How to complain page explains what happens next.
You can also complain to the Information Commissioner’s Office at any time, at ico.org.uk or on 0303 123 1113. You don’t have to come to us first.
